How to set up an Organization account

Learn the benefits of an Organization account and how to create one.

To make the most of the Apify platform, you can go beyond the default personal account to utilize specialized features offered through the Organization account. Below we'll lay out the benefits of this advanced account, how to create it, and some important functionalities to consider if you're contemplating the shift.

1. Benefits of an Organization account

Enhanced collaboration

The Organization account is designed to improve collaboration within teams. By creating an Organization account you can manage permissions, centralize your billing, and encourage better communication and collective project success.

Streamlined permission management

The Organization account comes with a sophisticated permission management system. Administrators gain the power to efficiently control access levels to strike the right balance between collaboration and data security.

Centralized billing

One of the standout features of the Organization account is centralized billing. All billing activities are streamlined to provide a transparent overview of expenses, simplified subscription management, and cost allocation within the organization. This way, you'll have one subscription and its resources available to all members, rather than each person from your team subscribing individually and needing to deal with all the admin work.

2. How to set up an Organization account

There are two ways to set up an Organization account:

Creating a new organization

If you're just starting out on your Apify journey and have no own Actors or existing integrations, creating a new organization is the ideal choice. This approach provides a clean slate for building an organizational structure from scratch in just a few clicks.

Convert your existing account into an Organization

Converting to an Organization account is best if you have an existing subscription or unique setups (such as your own Actors or integrations). This option ensures a smooth transition without the need to start from scratch. This helps you maintain continuity in ongoing projects.

Here are some key points to keep in mind when converting your personal account into an Organization:

  • You'll no longer be able to sign in to the converted user account.

  • An organization cannot be converted back to a personal account.

  • During conversion, a new account (with the same login credentials) will be created for you. You can then use that account to set up the organization.

3. Important aspects of the Organization account

Multiple organization accounts

You can enjoy the flexibility of owning up to 5 organization accounts and being a member of as many as needed. This provide scalability and adaptability to different organizational structures.

Organization members consumption

While the Organization account provides centralized management, it doesn't offer the capability to cap or monitor the consumption of each contributor individually.

Actor transfer

Moving Actors from another account to the Organization account is easily done by copying Actors and tasks (excluding runs). However, keep in mind that GitHub deploy keys will need to be set manually again.


Another solution is to share the Actors with the Organization account. This won't require rebuilding but you'll need to keep maintaining the shared Actors.
